What Does an Email Setup Service Include?

An email setup service configures your email account correctly on every device you use — PC, Mac, iPhone, Android and tablet — so mail sends, receives and stays in sync everywhere. It's for Sydney households and businesses whose email won't connect, keeps demanding passwords, or has never been set up properly in the first place.

The typical triggers are predictable: a new phone that refuses to accept the settings the old one used happily, a change of internet provider that silently retired an old address, a new business that needs proper corporate email from day one, or a hosting renewal notice for an account nobody remembers setting up. IMAP, POP3 or Exchange: Which Should You Use?

POP3 is the oldest of the three: it downloads mail to one computer and, in many configurations, removes it from the server. That made sense when a household owned a single PC. Today it produces the classic complaint we hear constantly — mail visible on the office computer but mysteriously absent from the phone.

IMAP keeps the mailbox on the server, with every device showing a live mirror of it — delete a message on your phone and it's gone from your laptop too. Exchange, including Microsoft 365 accounts, goes further by syncing calendars, contacts and shared mailboxes alongside the mail itself, which is why it's the default for business.

Almost every modern setup should be IMAP or Exchange. We still find old POP3 configurations causing havoc across Sydney, and converting them safely — without losing the mail stored locally on the old computer — is routine work for us but genuinely risky as a DIY job.

Common Email Problems and Their Real Causes

Most email faults present as one of a handful of symptoms, and the visible error message rarely names the actual cause:

  • Endless password prompts — often two-factor authentication demanding an app password, not the password you think it wants
  • Receiving works but sending fails — usually the outgoing SMTP server, port or authentication settings
  • Folders duplicated or missing after re-adding an account — a sync conflict between server and local copies
  • Incoming mail bouncing — frequently a full mailbox or an expired hosting plan
  • Mail stuck after switching providers — old server settings still cached on one or more devices

Diagnosis is what you're really paying a technician for. Once the true cause is confirmed, the fix itself is usually quick — which is exactly why our email troubleshooting starts with testing, not guessing.

How Does an Email Migration Work?

A proper email migration follows a sequence: audit what exists (accounts, folders, aliases, autoresponders), choose and prepare the destination, copy mail, contacts and calendars across, reconfigure every device, then verify that folder counts match before anything old is retired. For business domains there's an extra step — updating DNS records at the right moment so mail flow never actually stops.

You can make your own migration smoother with a little preparation: know the login for your current provider, note any aliases or extra addresses that feed the same inbox, and flag folders you absolutely cannot lose. Years of correspondence, tax records and client history often live only in email — treat the move with the same care you'd give any other data migration.
